We are seeking a part-time Office Manager. This position plays a vital role in promoting the values of our community by acting as a leader, resource and liaison for church members, committees, officers, the Minister and the Board of Trustees.
The Office Manager presents the face of the congregation in many of our dealings with vendors, neighbors and other organizations. The Office Manager functions in many ways as the coordinating/communication hub of the congregation. The position requires strong communication, management, leadership, and interpersonal skills.

POSITION SUMMARY
The OFFICE MANAGER is employed by UUFH and works under the supervision of the Minister. The OFFICE MANAGER follows standard practices and procedures in the execution of the position and is responsible for the organization and coordination of office operations, procedures and resources to facilitate the effectiveness and efficiency of UUFH.
ESSENTIAL FUNCTIONS
- Manages UUFH postal mail, electronic mail and answers phones
- Oversees functioning of the office, including keeping church files and records, maintaining office equipment, purchasing supplies
- Manages church publications and communications, including Sunday Orders of Service, weekly e-Blast, monthly Newsletter, general correspondence, website updates, and social media accounts including FaceBook & Twitter
- Attends scheduled staff meetings. Attends Executive Committee and Board meetings as requested.
- Prepares materials for Board and Executive Committee meetings and other meetings as requested
- Keeps master calendar of activities and building usage.
- Maintains membership records
- Communicates regularly with other staff members (Bookkeeper, Coordinator Family Ministry, Music Director, and Minister) to coordinate update of databases etc.
- Functions as resource person for church members, committees, board, and staff
- Supports healthy communication and right relationships between the church and its constituencies including: neighbors, vendors, staff, committees, members, etc.
- Promotes and schedules rentals, prepares rental contracts, arranges for temporary workers
- Coordinates special events such as memorial services, dinners, etc.
- Manages all facilities maintenance activities, including security, repairs, landscaping and cleaning contractors in cooperation with Buildings and Grounds Committee

- Ability to maintain confidentiality in general, and specifically in relation to ministry, financial and pastoral concerns in close cooperation with the Minister.
- Calm presence while dealing with complex issues and a sense of humor is always helpful.
- Clear understanding and support of UUFH’s vision and mission for building an antiracist, multicultural and multigenerational congregation.
QUALIFICATIONS
- 5 years minimum experience in working in office management. Experience in church or not-for-profit organizations an asset
- Competency with computers, including Word, database, Excel, PowerPoint, Publisher, website maintenance, basic graphic design, and social media expertise.
- Excellent communications, collaboration and problem-solving skills
- Ability to organize and prioritize multiple tasks
HOURS AND REPORTING
- Twenty (20) hours per week.
- This position will be employed UUFH and works under the supervision of the Minister.
